Receiving lyophilised research materials: a laboratory checklist

Prepare a receipt check before a research shipment arrives. The aim is to keep the delivered material, its documents and any questions together until your laboratory decides whether it can be released for the intended work.

Before delivery

Confirm the receiving contact and delivery address. Obtain the supplier’s documented storage and transport information for the exact material, where available. Do not infer a temperature or shelf life from the word “lyophilised”, a similar product or the appearance of the pack.

Set out who can assess a damaged package or missing record, where a questioned delivery should be held under your procedure, and how the supplier will be contacted. This guide does not prescribe storage temperatures or a laboratory handling protocol.

Record the delivery

  1. Record the receipt date, order reference and person receiving it.
  2. Compare the product code, labelled quantity and lot with the order.
  3. Inspect the external packaging and label; record visible damage without opening a container contrary to your procedure.
  4. Retain any transport record supplied, including the relevant time period and identifier.
  5. Match the certificate and safety information to the material.
  6. Record the storage instruction actually provided and any unresolved question.

If something does not match

Keep photographs of the packaging and label where appropriate and contact the supplier with the order, lot and discrepancy. Describe observations rather than concluding that a material is suitable or spoiled from appearance alone. A temperature deviation needs assessment against applicable evidence; it is not resolved by a generic internet storage recommendation.

Do not relabel an uncertain lot as an expected one. Keep correspondence with the receipt record and follow the laboratory’s decision process before use.
